For the purposes of UK data protection law — the UK GDPR and the Data Protection Act 2018 — Palletmove Limited is the controller of the personal information described here.

This notice covers information handled when you use this website, send an enquiry through it or phone us. It does not cover other websites we link to, such as official government guidance or Pallets Direct; those sites have their own notices.

• Enquiry details you give us — your name, company name, phone number, email address if you provide one, and the details of your requirement (pallet sizes, quantities, delivery or collection details and your message).
• Pallet Checker answers — held in your own browser only, and sent to us only if you choose to include the summary in an enquiry.
• Photographs you upload with a collection enquiry — optional photographs of the pallets, uploaded straight into private storage so a member of our team can see what you have before we call. We ask you not to include people, personal documents or vehicle registration numbers. The file name from your device is not stored: each photograph is saved under a random reference.
• Call information — whatever you choose to tell us when you phone.
• Technical information — when the enquiry form is submitted, the network address of the request is used transiently to protect the form against abuse, and our infrastructure keeps standard server logs for security.
• Your cookie choice — the consent record described in the cookie policy.

This website has no user accounts, no logins, no newsletter and no marketing lists, and we do not buy information about you from anyone.

• To respond to your enquiry, prepare a quotation and arrange supply, collection or a pallet-management service — because this is a step you ask us to take before entering a contract, or under our legitimate interest in responding when you contact us on behalf of a business.
• To protect the website and its forms against abuse and automated misuse — under our legitimate interest in running a secure service.
• For analytics, only ever with your consent — and no analytics service is installed on this website today.
• To meet legal obligations where records of business transactions must be kept.

Photographs are used only to help a person assess your pallets before we speak. We do not grade, price or value pallets automatically from a photograph. We do not use your information for automated decision-making or profiling.

Enquiries go to the members of our team who handle sales and collection enquiries. Beyond that, information is processed only by the service providers that run this website for us: the hosting and database infrastructure the site is built on, and an email delivery provider used to route enquiry emails to our team. These providers act on our instructions under contract. Collection photographs are never attached to email: our team receives a private, time-limited link that expires 30 days after the enquiry. We never sell your information and never share it for marketing.

Enquiry details are stored securely in the website's database and emailed to the staff who handle your enquiry. Where a provider processes information outside the United Kingdom, we require safeguards recognised under UK data protection law, such as an adequacy decision or the UK international data transfer agreement. Collection photographs are held in a private storage area that is not publicly readable and cannot be browsed from the website.

We keep enquiry records only as long as they are needed to handle the enquiry and any business relationship that follows from it, and then delete or anonymise them. Collection photographs are deleted automatically by a daily scheduled process 90 days after the enquiry unless they form part of an active customer or business record, photographs uploaded but never submitted are removed after seven days, and the links sent to our team stop working after 30 days. The rest of our retention schedule is under review; the published version of this notice will state the specific periods.

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you
• ask us to correct information that is wrong or incomplete
• ask us to delete information, where the law allows
• ask us to restrict or object to how we use information
• receive information you gave us in a portable format
• withdraw consent at any time, where consent is the basis we rely on

To exercise any of these rights, phone us or use the contact page. We may need to confirm your identity before acting on a request, and we normally respond within one month at no charge.
